Should You Trust Your Pilot Logbook to A.I.?

If you have a need to convert your original paper logbooks to a digital format, it may be tempting to just take photos of your logbook and upload them to a public artificial intelligence (A.I.) system or use one of the several new apps that have recently appeared for conversion and then import the results into your chosen digital logbook program. However, many pilots have come to our team recently to fix AI conversion projects that failed to deliver the expected results.

Artificial intelligence can be a valuable tool, but it is far from perfect. Because your logbook serves as an official record of your flight experience, and may be relied upon for certificates, ratings, employment opportunities, and regulatory compliance, errors introduced during the conversion process can have significant consequences if they go unnoticed.

Can a Computer Read Your Handwriting?

The optical character recognition (OCR) technology in AI systems that helps extract text and numbers from images is not perfect. It can easily transpose simple characters or just convert data incorrectly which could greatly affect your flight time totals or flight entry details (like dates, aircraft identifiers, types, and route of flight). If your handwriting is cramped, faded, or simply difficult to read, AI is much more likely to introduce errors into your digital logbook that were never present in your original handwritten records.

Beyond handwriting, many logbooks contain crossed-out entries, correction fluid (white-out), side notes, arrows redirecting data, amended flight times, corrected entries, and other non-standard annotations. These situations require human judgment and context, and AI will struggle to interpret them. As a result, AI may misread, omit, or incorrectly reorganize data, creating errors that must be found and corrected.

By comparison, professional human teams review and identify unclear or questionable data during the initial transcription process and flag those items for the pilot’s clarification or confirmation. Rather than guessing, they review those items with the pilot before finalizing the dataset while providing professional guidance, helping ensure the digital logbook most accurately reflects the original records, while significantly reducing the amount of time the pilot spends reviewing and correcting transcription errors.

Privacy and Security Concerns

The terms and conditions of most public AI tools include that the company funding the free software can use your inputs as content for their services and you are not granted any rights to privacy or data protection unless you “opt out” of that content usage. For instance, the ChatGPT privacy policy states: “We may use Content you provide us to improve our Services, for example to train the models that power ChatGPT.” Since this is your personal flight data you may not want these records becoming part of the large language models.

Other, smaller apps appearing on the market are being created quickly and inexpensively by individuals who may lack the business, security, and legal infrastructure to properly protect your data.

AI is Not an Aviation Expert
Artificial intelligence is a powerful tool, but not an aviation subject matter expert. FAA rules and regulations are complex and often require careful interpretation based on specific circumstances, operations, or conditions of a flight. While AI can accelerate the paper to digital conversion step, it should never replace the human expertise required to accurately audit your flight records. The difference between a legally defensible logbook and one filled with inconsistencies often comes down to experienced human oversight. Even seemingly minor logging errors can become red flags during an airline interview, hiring event, post-employment audit, FAA certification review, practical test (checkride), or aircraft insurance evaluation.

Lack of Consistent and Reliable Results

Often if you use the same prompt with an AI interface, it does not deliver the same answer twice. Each query delivers a unique result. This can be unsettling for a project with structured data where the result should always be the same, like your totaled hours of flight time. AI also has a tendency to “hallucinate” fake data when it has holes to fill, rather than stopping and asking for clarification the way a human reviewer would do. You’ll want to triple check the data and the math on flight hour totals to make sure it all adds up correctly.

Time Savings May Be an Illusion

Reviewing and correcting AI-converted records can, in some cases, take twice as long (if not more) as doing the transcription work yourself in the first place. If you do use AI to transcribe your records, you’ll want to do a quality assurance check of its outputs. This will include comparing the digital file to your original written logbook records, line by line. Anecdotally, one pilot told our team he spent two solid weeks fixing AI mistakes before he decided to give up and submit his logbooks to us for digitization. You should know going into a project that AI can get you part of the way there, but it won’t be a complete solution.
